Professional Exchange : Exchange Conditions of IMCC(Denmark)
Level of studies Minimum 4th year students.
Type of Clerkship Clinical clerkships only.
Languages English or Danish. The student must be fluent in English (medical English) to apply for an exchange in Denmark and to maximize the benefits of the clerkship.
If the student's language skills are too poor (interview/upon arrival) we may cancel the clerkship.
Duration of Clerkship Four weeks. CALENDER MONTHS ONLY!
Working Conditions 7-8 hours per day, Monday to Friday.
IMCC Denmark supports the Academic Quality work of IFMSA. This means that you are expected to bring your Student Handbook, use it and show a signed handbook in order to get your certificate. Ask your own local exchange officer how to get the book.
Bring your own stethoscope to relevant departments.
No particular hospital dress code.
Hospital clothing will be provided.
We would like to emphasize that this is NOT a vacation, and we expect you to work full hours at the hospital in order to receive your certificate. The department will expect you every day, and if you are ill or for other reasons cannot come, you must inform the hospital.
Disciplines Most common clinical fields - but this varies from time to time depending on which departments are free and willing to accept students. Not all departments are available in all periods. Please be aware that, though rarely, hospital cancellations can occur just prior to the exchange in which case we will find best alternative.
We cannot place students at psychiatry, family practice and oncology and we don't have departments as acupuncture, sleeping disorders etc.
We cannot guarantee your 1st choice of department so do prioritize 4 different departments (not only one!).
And remember - a good motivation letter to each department is needed and will be send to the department.
If you show interest and enthusiasm at the hospital, your possibility to get clinical hands-on experience is good. But count on being expected to take the initiative and ask to be taught a specific procedure etc.
Periods & Towns We accept students all months except: December, January, June and September.

Normally clerkship starts on the Monday which is closest to the 1th of the month, and ends on the Friday of the fourth week.

Taking summer 2011 as an example:
---Period July: Monday 04/07/11 – Friday 29/07/11
---Period August: Monday 1/08/11 – Friday 26/08/11
All local committees accept students in July and August.
The rest of the year often only 1 or 2 LCs will accept students each month.
Local committees available:
Aarhus
Odense
Copenhagen incl. Hilleroed

Please note that not all students can go to Copenhagen.
It is important to prioritize all 3 local committees (not only one!) It is expected that the applying student has carefully read the Exchange Conditions and the Wikipages (link at bottom) about Denmark and the cities. Here you find all information needed for each destination. Note that July and August will have social activities in Copenhagen even though you stay in another city why you can apply for the cities without missing a visit in our capital.
Application documents & deadline A CD containing scanned copies of the following documents:
1. Application Form
2. 4 motivation letters (one for each department)
3. English certificate (students who are unable to communicate adequately will have their clerkship cancelled)
4. Copy of passport (not required for citizens from the European Union)
5. Negative MRSA (multi-resistant staphylococcus aureus) test from nose and throat must be scanned + emailed to NEO and presented upon arrival to the department. The test must be taken no more than 3 weeks before arrival. We prefer to have the test-result in English, but we will also accept the result in the students’ native language.

Application deadline:
July and August: March Meeting
Other months: 3 months prior to the elective
NO EXCEPTION

After receiving the Card of Acceptance we expect good and regular communication from the student (e.g. replying mails from LEO or contact person). This is important for the preparations of the clerkship.
Digital documents required We prefer all document in digital form.

Insurance These insurances are required and copies must be presented upon arrival (we may cancel the clerkship of students without insurance):
- Health insurance to cover transportation and medical care in case of emergency.
- Insurance covering damage causality (e.g. broken items at place of accommodation), theft (e.g. if a rented bike gets stolen) etc.

Malpractice insurance is not required since you will be under supervision at the department.
Pocket Money No
Board & Lodging Lodging:
Room in dormitory, apartment, in a family household or room at the hospital area.
Note that there often will be some transportation time from your lodging to the hospital, on your own expense.
In many cases the student will be staying in rented apartments/rooms in which cases we require that the students take the full responsibility of renting the place (we do the arrangements of course).

Board:
We provide 1 meal a day. In most cases this is provided as free lunch at the hospital cafeteria. Otherwise the student will receive a specific amount of money.

Unilateral fee: 300 Euro
Social Program July and August:
Usually social program will be arranged in 2 of the 4 weekends. We normally do weekend trips to Copenhagen, Odense and Aarhus where you can go to meet the other exchangees and visit all the different parts of Denmark. Transportation and other variable costs are not included in the exchange fee and will be on your own expense.

Rest of the year:
No major social program.
Substitutions The substitute must be same city, period and department. We must be notified of the replacement student at least two weeks before the clerkship is to begin. The replacement student must provide all of the required and supplementary documents.
Cancellations Please notify the NEO as soon as possible. We prefer substitutions to cancellations.
Visas Check out the visa process at: http://www.nyidanmark.dk/en-us/coming_to_dk/visa/who_needs_visa.htm

If required apply for visa immediately after sending the AF to Denmark! It can take 3-6 months to obtain a visa to Denmark!
IMCC Exchange will send Invitation Letter to the outgoing NEO and student. To be sure that we send it please request the IL from us.

It is the student’s responsibility to apply for visa in time. We can not change the dates of any clerkships if the student fails to get the visa on time.
Special remarks In order to obtain lodging the student may have to sign a contract renting the place. This contract will obtain the name of the insurance company and the insurance number why it is really important that the student have an insurance from the day of arrival.

Outside the summer months (July and August) we can only guarantee to accept 6 students per month.

We expect that the student has read these conditions carefully. We may deny the exchange if the applying student does not fulfill these conditions.
